SAP Payroll – HR and payroll services on the client’s SAP system

Outsourcing of HR and Payroll Using the Client's SAP System

Many large companies and corporate groups use SAP as their primary ERP system —and that is where they run their HR and payroll module (SAP HCM / SAP SuccessFactors). Changing HR and payroll service providers would require them to migrate data, implement a new system, and face operational risks during the transition. This is one of the reasons why these companies often do not consider outsourcing.

Aider Polska, as an HR and payroll service provider, solves this problem: we handle HR and payroll services directly within the client’s SAP system. We do not require any changes or data migration.

SAP on-premise and SAP SuccessFactors

We support both environments—both the classic on-premise SAP HCM and SAP SuccessFactors in the cloud. In practice, this means that regardless of which version of the system headquarters has mandated or the organization has chosen, our team is able to take over support without the need for changes or migration.

The differences between these environments are significant—different interfaces, different architectures, and different methods for configuring payroll schemes. That is why our team includes specialists with experience in both versions, who are able to work within a specific client’s configuration, rather than just in a model environment.

Headquarters is mandating SAP—we understand that

For subsidiaries of international groups, SAP is very often a system imposed from above—the decision was made at the group level, and the Polish subsidiary has no say in the choice of tool. This means that any outsourcing of HR and payroll must be carried out within SAP, not alongside it.

We understand this specific situation. We are able to integrate into the existing SAP environment, adapt to the configuration mandated by the group, and simultaneously ensure compliance with Polish regulations—which is not always straightforward when the payroll schema was designed with other markets in mind.

We generate reports in the formats required by headquarters, while complying with local Social Insurance Institution (ZUS) and tax requirements.

How does SAP Payroll outsourcing work?

Our team gains access to the client’s SAP HR/HCM module and handles HR and payroll processes within the client’s environment—just as the internal HR department would, but from an external provider. The client retains full control over the system, data, and access rights. We take over the execution of processes in accordance with the agreed-upon scope and SLA.

This model eliminates migration risks, preserves the data history within the client’s system, and requires no changes to the IT infrastructure.

HR and payroll processing in the SAP system requires specialized knowledge —an understanding of the HCM module’s structure, the principles of configuring payroll schemas, and the ability to work in an environment that is configured slightly differently in every company.

Our team has experience working with SAP HR across various configurations and industries.

Our HR services office helps enterprise organizations ensure payroll compliance with Polish regulations without having to change their existing technology stack.
