HR and Payroll on the Comarch ERP Optima System
Outsourcing HR and Payroll to Comarch Optima
Comarch ERP Optima is one of the most widely used accounting and HR systems in Poland, particularly popular among small and medium-sized businesses. Its HR and payroll module (Comarch ERP Optima Payroll and HR) offers comprehensive tools for managing employment, calculating salaries, and handling Social Insurance Institution (ZUS) settlements.
Aider Polska, as an HR service provider, offers HR and payroll outsourcing using the Comarch ERP Optima system—both for companies that already use this system and wish to outsource its management, as well as for those looking to switch to it.

System Flexibility – Comarch Optima: Yours or Ours
We provide HR and payroll services on Comarch ERP Optima using two models—and it’s up to the client to decide which one best suits their situation.
If the company already uses Comarch ERP Optima, we can work directly on their system. Our team logs into the client’s environment and handles HR and payroll processes right where all the data, history, and configuration are already stored. We do not require any migration or software changes.
If a company does not yet have a system or wishes to separate its HR and payroll environment from its internal ERP, we provide services using our own Comarch ERP Optima license. The client gains access to the system without having to purchase, implement, or maintain it —we handle all of that.
Both models provide the same level of service and the same access to data for the client.
What services do we provide as part of our HR and payroll outsourcing in Comarch ERP Optima?
As part of our HR and payroll services on Comarch ERP Optima, we provide the following, among other things:
- maintaining employee personnel files in the HR module,
- calculating salaries in the Payroll module, supporting various pay structures,
- tracking work hours and managing absences,
- generating and submitting ZUS declarations (export to Płatnik),
- PPK administration —enrollments, withdrawals, and contribution calculations,
- electronic pay stubs and annual PIT-11 tax returns,
- HR and payroll reporting from the system,
- ongoing updates to the system configuration in response to regulatory changes.
Regulatory Updates – Without Involving the Customer
Comarch ERP Optima is regularly updated by the manufacturer in response to regulatory changes—new social security contribution rates, changes in tax calculations, and new tax return forms. A client who maintains the system on their own must keep track of updates, test them, and implement them.
In the outsourcing model, this is our responsibility—the client does not have to handle the technical maintenance of the system or keep track of Comarch’s update schedule.
Small and Medium-Sized Businesses – HR Systems and Outsourcing That Grow Alongside Your Organization
Comarch ERP Optima is particularly popular among companies with a workforce ranging from a few to several hundred employees. This is the segment we most frequently provide HR services for using this system.
Its advantage is that it works well for both simple and more complex employment structures—including multiple payroll schemes, various types of contracts, and Employee Pension Plan (PPK) administration. As the company grows, there’s no need to change the system—simply expand the scope of its use.
Our HR agency supports SMEs in scaling their HR and payroll processes without having to invest in their own HR and payroll department.
Comarch ERP Optima and Accounting Under One Roof
For companies using Comarch ERP Optima for both accounting and HR and payroll outsourcing , Aider Polska can handle both areas.
One system, one provider, full integration of financial, HR, and payroll data. This eliminates the need to reconcile data between different systems and different providers.
